Who we are

LOOM Atelier sells fragrances through this website. [Add your registered business name, address and GST number here.]

For anything about your data, write to us through the contact page and choose “Press & other conversations”, or email [add your privacy contact address].

What we collect, and why

When you place an order

To take and deliver an order we need your name, email address, phone number, delivery address and what you bought. We keep this because we have to: to send the parcel, to answer you if something goes wrong, and to keep the sales records the law requires us to keep.

You can order as a guest — you do not have to create an account.

When you write to us

The contact form asks for your name, email address, the kind of enquiry, an order reference if you have one, and your message. It is stored on this site and emailed to us so we can reply. We use it to answer you, nothing else.

When you subscribe to our letter

We store only your email address and the date you subscribed. Every letter carries an unsubscribe link, and you can ask us to remove you at any time.

When you review a fragrance

A review stores the name you give, your email address, your rating and what you wrote. The name and the review are shown publicly on the product page; your email address is not. If you bought the fragrance from us, the review is marked as being from a verified owner.

Automatically

Like any website, our server records the usual request information — IP address, browser and the pages served. This is used to keep the site working and secure.

Cookies

We use only the cookies the shop needs to work:

  • Cart and session — so your bag survives while you browse and you can reach checkout. These clear when you close the browser or complete an order.
  • Reviews — if you leave a review, your name and email may be saved in your browser so you do not have to type them again. This is your choice and stays on your device.
  • Login — only if you create an account and sign in.

We do not run advertising, analytics or social media tracking on this site. Our typefaces are served from our own server, so visiting a page does not tell a font provider you were here.

Payment

Orders are currently paid by cash on delivery, so we do not collect or store card details. [If you add an online payment provider, name it here and link to its privacy policy — card details go to the provider, never to us.]

Who else sees your data

We do not sell your data and we do not share it for marketing. It is seen only by:

  • the people at LOOM who pack and support your order;
  • [your delivery partner], who needs your name, address and phone number to deliver the parcel;
  • [your hosting provider], on whose servers this site and its database run;
  • anyone we are legally required to disclose it to.

How long we keep it

  • Orders — for as long as tax and accounting rules require, then they are removed.
  • Messages from the contact form — until the conversation is finished and a reasonable period after, in case you come back about the same thing.
  • Newsletter — until you unsubscribe.
  • Reviews — until you ask us to take yours down.

[Set the exact retention periods you intend to keep, and say them here.]

Your rights

You can ask us to show you the data we hold about you, correct it, or delete it. You can withdraw consent for the newsletter at any time. Write to us through the contact page and we will respond.

There are limits: we cannot delete order records we are required to keep for tax purposes, and deleting your data may mean we can no longer help with a past order.

Keeping it safe

Your data is stored in this site’s database on our hosting provider’s servers. We restrict access to the people who need it. No website can promise perfect security, but we take it seriously, and if something goes wrong that affects you we will tell you.

Changes to this policy

If we change how we handle your data we will update this page and change the date at the top.
